Instructions for Interns/ Expectations
1. MEANS OF COMMUNICATIONS & RESPONSIVENESS
In accordance with the Eastman School Of Music Academic Policy, a student’s University assigned student email account will become the ALP’s official means of communication.
Students are responsible for all information sent to them via
their University of Rochester email account, and it is expected
that such communications will be received, read and if requested RESPONDED TO IN A TIMELY FASHION. Failure to do so is grounds for dismissal from the ALP Intern program.
2. INTERNSHIP MEETINGS
All interns are required to attend intern meetings. You will receive a grade for your internship, and participation in meetings will be taken into account.
3. TIME COMMITMENT
All interns are responsible for an average of 8-10 hours per week,
and must reach a total of 120 hours per semester. See the

Payroll Schedule for details. Exceptions to this policy can only be made with
the agreement of your internship supervisor, and the Arts Leadership
Program Assistant Director. Summer intern hours may vary.
4. CREATING A WORK SCHEDULE
You must treat your internship like a job. Create a work-schedule in cooperation with your internship supervisor, and stick to it! If for any reason you cannot stick to those hours, or must miss a day or even a week, notify your supervisor IN ADVANCE. All time off must be requested, as in any job. BE RESPONSIBLE! If for any reason you have a time crisis, and feel overwhelmed by your workload see your supervisor immediately and contact the ALP Assistant Director. 5. REPORTING TIME
All interns must report time worked in order to be
paid.

listed. Timecards
must be signed by you and your internship supervisor.
They must be turned into the ALP office by the deadline. Hours
may NOT be accrued so timely submission of your time
cards is important! (Summer interns report time only
as requested.)
6. UNIVERSITY HOLIDAYS
All University of Rochester & Eastman School of Music Holidays must be honored by your intern supervisor. Interns are not permitted
to work those dates as noted. See the
Internship Calendar for details.
7. HRMS & DIRECT DEPOSIT
Student employees are considered university employees and as
such fall under all the same policies and procedures of the
University of Rochester Human Resource Management System (HRMS).
All University of Rochester employees are encouraged to consider
setting their paychecks up for direct deposit. For more information

8. APPROPRIATE DRESS
Again, treat your internship like a job, and dress appropriately. Appropriate dress will vary from organization to organization.
Observe the dress of those in the office around you and dress accordingly.
Don’t model your dress after the most casual dresser in the office. If you have any questions, ask your supervisor.
9. ALP INTERN FACEBOOK GROUP AND REPORTING
All interns are required to participate in the ALP Intern Facebook group on a weekly basis. Participation includes one wall entry, a posting for a topic relevent to an arts intern, or a discussion group entry. Entries may include a summary of current project(s) being worked on for the week, a particular success or challenge you've faced during the week (and how you achieved/overcame it), a recount of a meeting you attended (please do NOT include host organization confidential information), an example of how you took initiative, or other issues you are facing in your organization and how you're making the internship a great experience. Written entries should be 3-5 sentences. Please avoid repeating the same thing from week to week. If you're unsure as to whether an item should be entered, email it to the ALP Assistant Director for review and approval prior to entry.
10. INTERNSHIP EVALUATIONS
All interns must complete a full evaluation at the end of each semester. You may be asked by your
supervisor to attend an “end of semester evaluation meeting”at which time your supervisor will discuss their evaluation of
you, as well as listen to your evaluation of the internship. All evaluation forms must be submitted to the ALP office by the last day of your internship. Please consult the
Internship Calendar for due dates.
11. REPORT ALL PROBLEMS ASAP
A certain amount of routine work should be expected in any job. However, if the job is not meeting your expectations, talk with the ALP Assistant Director. The ALP office will work with you and your supervisor to improve your placement. If this does not prove successful, we will make every attempt to place you in a new internship. The worst possible thing you can do is to slack off, miss hours, or stop showing up altogether. Be professional.
12. INTERNSHIPS ON YOUR TRANSCRIPT
If you have registered for credit, your internship will show
up on your transcript, and will be listed as pass/fail for
undergraduates or credit/no credit for graduates. A maximum of two credits
of an approved internship will count towards your ALP certificate
6-credit requirement. Summer internships are limited to 1 credit
with a minimum 120 hours required.
Failure to comply with any of these expectations or commitments will result in a failing/no
credit grade.
